How It Works

The Collaboration hub is powered by real-time presence subscriptions and a live-synced shared clipboard backed by your workspace. Three panels make up the experience:

• Live Now — who is currently online, what page they're on, and whether they're typing
• Shared Clipboard — a workspace-wide clipboard where any team member can drop text, links, code snippets, or images
• Team Activity Feed — a chronological log of everything your workspace has done

On desktop, all three panels are visible simultaneously in a two-column layout. On mobile, they are accessible via a Live / Clips / Activity tab strip at the top of the page, with badge counts showing unread activity and live user totals at a glance.

Step-by-Step: Getting Your Team Set Up

1. Open the Collaboration Hub

Navigate to Collaboration from the OS sidebar. If you are not signed in, you will be prompted to do so — collaboration features require an authenticated account.

Once you land on the page, you will see your workspace name in the subtitle below the Real-Time Collaboration heading. If you have multiple workspaces, the first one is active by default. Workspace management lives in Teams.

2. Invite Your Teammates

At the top right of the page, click the Invite button. This copies a direct link to the Collaboration hub to your clipboard. Send that link to anyone you want to work with. When they visit it while signed in, they will appear in the Live Now panel immediately.

3. Watch Live Presence Update in Real Time

The Live Now card shows a green pulsing indicator next to each online teammate. You can see:

• Their display name and initials avatar
• The exact page they are currently viewing on Vincony
• A Broadcasting badge if they have started a Follow Me session (more on this below)
• A Jump to their page arrow button that navigates you directly to wherever they are

If a teammate is actively typing into the Shared Clipboard input, their name appears at the top of the panel with an animated "is typing..." indicator — the same experience you know from chat apps, now applied to your AI workspace.

Just below the live list, a Recently Online section shows teammates who were active in the last hour but have since gone offline, along with the page they were last seen on and a relative timestamp.

4. Share Content via the Shared Clipboard

The Shared Clipboard is the main workhorse of the Collaboration hub. Think of it as a persistent, workspace-wide clipboard that every team member can read from and write to in real time.

To add a clip:

• Choose a content type using the three icons above the input field: Text (plain text or links), Code (monospace multi-line input for prompts and snippets), or Image (file upload or direct paste from your clipboard)
• Type or paste your content into the input field — for Text mode, press Enter to submit; for Code mode, use Ctrl+Enter (or Cmd+Enter on Mac)
• Your clip appears instantly for every online teammate

Clips are tagged automatically based on the mode you used. A Code badge (emerald), Link badge (blue), Image badge (purple), or Text badge (muted) appears on each entry so teammates can scan the feed at a glance.

Each clip also supports:

• Pin — hover over a clip and click the pin icon to push it to the top of the list. Pinned clips stay visible above the scrollable feed and are ideal for the prompt template everyone needs right now, or a reference link the whole team keeps returning to.
• Copy — one click copies the content back to your local clipboard.
• Replies — click the reply icon (or the reply count at the bottom of any clip) to open a threaded reply input. Teammates can respond inline without leaving the panel. Reply counts are shown per entry so nothing gets missed.
• Delete — only the author of a clip can delete it. If you want to clear everything you have shared, click Clear Mine at the top right of the Shared Clipboard card.

Searching clips: Once your workspace has more than three clips, a search bar appears. Press / anywhere on the page (when not in a text input) to jump the cursor directly into search. Press Escape to clear. You can also filter by content type using the tag pills — Code, Link, Image, Text — and combine them with a search term. Click Clear to remove the tag filter.

Sound notifications: The speaker icon in the Shared Clipboard header toggles an audio chime. When enabled, a brief tone plays each time a new clip is added by a teammate. Your preference is saved in the browser.

5. Use Follow Me for Live Guided Sessions

Follow Me is a navigation-broadcasting feature that lets one person lead a live walkthrough while teammates follow along automatically.

To start broadcasting your own navigation:

• Open the Live Now card — Follow Me controls appear when at least one other team member is online
• Click Start Follow Me — your presence badge changes to Broadcasting
• Every teammate who clicks Follow next to your name will be navigated to whatever page you go to, in real time

This is particularly powerful during onboarding sessions, design reviews, or when walking a new team member through a research pipeline. The person following sees an animated Broadcasting indicator and can click Unfollow at any time to regain independent navigation.

If a teammate starts broadcasting, their entry in the Live Now list shows a pulsing navigation icon and an is broadcasting label. You can follow or unfollow any active broadcaster independently.

6. Monitor Team Activity

The Team Activity Feed on the right side of the desktop layout (or the Activity tab on mobile) shows a chronological record of your workspace's actions. An unread badge appears on the Activity tab when there is new activity you have not viewed yet — the count resets automatically when you open the tab.

The activity feed is useful for async catch-up: jump into a workspace mid-day and immediately see what your team has been running, without scrolling through chat history.

Tips for Getting the Most Out of Collaboration

Pin your prompt templates. If your team iterates on system prompts or chain-of-thought templates, pin the current working version to the top of the Shared Clipboard. Everyone stays on the same version without digging through history.

Use Code mode for prompts. Switching to Code mode before pasting a multi-paragraph prompt preserves formatting and makes it easy for teammates to copy the exact text with one click.

Combine Follow Me with the Second Brain. Start a Follow Me session while walking through your Second Brain to give teammates a live tour of your research structure before they start contributing their own notes.

Search before you share. Use / to search the clipboard before adding a duplicate link. If it's already there, reply to it instead of creating a new entry.

Clear old clips regularly. The clipboard holds up to 30 clips per workspace. Use Clear Mine to remove your older entries when they are no longer relevant, so pinned and recent content stays front and center.
