Teams & Workspaces Setup: Collaborate on AI Projects with Your Team

Working with AI as a team requires more than just sharing a login. You need shared context, consistent settings, role-based access, and visibility into what everyone is doing. Vincony's Teams & Workspaces features are designed exactly for this — collaborative AI with proper guardrails.

Understanding the Structure

Vincony uses a two-level hierarchy:

  • Workspace — a shared environment for a group of people (like a Slack workspace or a GitHub organization)
  • Projects — individual initiatives within a workspace (like channels or repositories)

Every workspace can have multiple projects, and every project inherits the workspace's Brand Kit, knowledge base, and team settings.

Creating a Workspace

Step 1: Navigate to Workspace Hub

Click Workspaces in the sidebar or navigate to the Workspace Hub.

Step 2: Create New Workspace

Click "New Workspace" and provide:

  • Name — your team or organization name
  • Description — what this workspace is for (optional but helpful)

Step 3: Set Up the Workspace

Once created, configure your workspace with shared resources:

  • Brand Kit — upload your logo, set brand colors, define terminology
  • Knowledge Base — add reference documents that all team members can access
  • Default settings — set preferred models, tone, and output formats

Inviting Team Members

Roles & Permissions

Vincony supports granular role-based access:

ViewerView shared outputs and galleries, cannot generate

Sending Invitations

  • Go to Workspace Settings → Team
  • Click "Invite Member"
  • Enter their email address
  • Select their role
  • Send the invitation

Invited members receive an email and can join immediately if they have a Vincony account, or create one through the invitation link.

Shared Resources

Shared Prompt Library

The team prompt library is a shared collection of proven prompts that any team member can use:

  • Save prompts from any generation to the shared library
  • Categorize by use case (marketing, support, engineering, etc.)
  • Version prompts as you refine them
  • Fork a teammate's prompt to create your own variation

This prevents the "everyone reinventing the wheel" problem where five team members each write their own version of the same prompt.

Output Gallery

The shared output gallery lets team members showcase and share their best AI-generated content:

  • Share any generation to the team gallery
  • Comment on shared outputs (coming soon)
  • Search by model, date, or prompt keywords
  • Download directly from the gallery

This is especially useful for creative teams doing image or video generation — it becomes a living mood board that everyone contributes to.

Activity Feed

The team activity feed shows what's happening across the workspace:

  • Who generated what, and when
  • New prompts added to the shared library
  • New members joining the team
  • Workspace setting changes

This isn't surveillance — it's visibility. It helps teams learn from each other and avoid duplicating work.

Team Announcements

Workspace owners and admins can pin announcements that appear as a banner at the top of the Team tab. Use announcements to broadcast important updates — policy changes, new tool availability, upcoming deadlines, or workflow reminders.

Each team member can dismiss announcements individually, so they won't clutter the interface once read. Announcements support a title and body, making them useful for both quick notices and longer explanations.

Member Online Status

Real-time presence indicators show who's active in the workspace right now:

  • Green dot — online (active within the last 2 minutes)
  • Yellow dot — idle (2–10 minutes since last activity)
  • Gray dot — offline

Status dots appear next to member avatars in the members list and in the member detail drawer. The Overview tab also shows an "Online Now" counter so you can see team availability at a glance. This is powered by real-time presence tracking — no manual status setting required.

The Settings tab gives workspace owners centralized control over workspace configuration:

  • General — rename the workspace or update its description
  • Defaults — set the default role assigned to new invitees (e.g., always invite as Editor instead of Viewer)
  • Notifications — toggle email notifications for team events like new members joining or approvals being submitted
  • Danger Zone — transfer workspace ownership to another member, or permanently delete the workspace (with confirmation)

These settings help you standardize your workspace setup and reduce repetitive configuration when onboarding new team members.

Onboarding Checklist

New workspace owners see a guided setup card at the top of the Team section. It tracks five key milestones:

  • Invite your first team member — complete when at least one member joins
  • Set a monthly budget — complete when a credit budget is configured
  • Configure team roles — complete when any member has a non-default role
  • Add a shared prompt — complete when prompts exist in the shared library
  • Create an announcement — complete when the first announcement is posted

A progress bar shows completion status. The checklist can be dismissed at any time and won't reappear. It's purely a guide — skipping steps doesn't affect functionality.

Team Report Export

Generate downloadable reports of team activity from the Overview tab:

  • Time ranges: Last 7 days, 30 days, 90 days, or a custom date range
  • Formats: CSV (for spreadsheets) or PDF (for sharing with stakeholders)
  • Sections: Member usage summary, budget overview, activity log, and approval history

Reports include a header with workspace name, date range, and generation timestamp. The member summary table shows each person's role, credits consumed, and generation counts by category. Budget data includes limit, usage, remaining balance, and utilization percentage.

This is especially useful for monthly team reviews, budget justification, and identifying usage patterns across the team.

Managing Usage

Member Usage Analytics

Workspace owners and admins can view per-member usage analytics:

  • Credits consumed per member per period
  • Most-used models across the team
  • Generation counts by category (text, image, video, audio)

This helps with capacity planning and identifying opportunities for optimization (e.g., if a team member is using GPT-5 for tasks that Gemini Flash handles just as well at lower cost).

Credit Allocation

On team plans, each member draws from their own monthly credit balance. Owners can monitor consumption per member from the workspace dashboard and set a workspace-level budget alert for when usage exceeds a threshold.

Projects Within Workspaces

When to Use Projects

Create separate projects for:

  • Different clients — each client gets their own context and brand settings
  • Different campaigns — keep Q1 marketing separate from product launch
  • Different departments — engineering docs vs. marketing content

Project-Level Settings

Each project can override workspace defaults:

  • Custom Brand Kit (inherits from workspace if not set)
  • Project-specific knowledge base entries
  • Preferred models and settings
  • Access restrictions (limit which team members can access specific projects)

Best Practices for Team AI

Establish prompt standards. Before your team dives in, agree on naming conventions for saved prompts, categories, and any required metadata.

Start with the Brand Kit. Setting up your Brand Kit before the team starts generating ensures consistent outputs from day one. Retrofitting brand guidelines is much harder than starting with them.

Use the Shared Prompt Library actively. Encourage team members to save and share prompts that work well. The best teams treat their prompt library like a shared codebase.

Review the Activity Feed weekly. A quick scan shows you what's working, who might need help, and whether the team's usage patterns are efficient.

Set up role permissions early. It's easier to start restrictive and loosen permissions than to clean up after someone accidentally changes workspace settings.

Leverage Style DNA at the workspace level. Create a core set of Style DNA profiles that represent your brand's writing voices, and make them available to all team members.
